Summary:

To ensure customer-focused operation of the day-to-day office services performed at the Naperville Center. Complete clinical service admissions that promote an excellent client and family experience. The Front Office Representative is a key element in security for the Naperville Center.

Basic Responsibilities:

I. Front Office Responsibilities
A. Answers all incoming calls and forwards to appropriate team member.
B. Greets clients, grants admission to site through secure entry, and assists with check in and collection of payments, as needed.
C. Forwards appointment requests and cancellations to Scheduling.
D. Assists with cleaning and disinfection of therapy equipment and toys.
E. Copies, laminates, assists clinical staff with projects as assigned.
F. Coordinates Therapy Aide schedules and responsibilities.

II. Admissions
A. Responds to inquiries regarding assigned programs.
B. Records preliminary information on client, ensuring accuracy and completion of intake documents with family.
C. Ensures all prescriptions, referrals and authorizations are current and placed in the client’s file.
D. Ensures referral process is completed in a timely manner.
E. Initiates setup and completion of each client file in Raintree.

III. SAFETY AND SECURITY
A. Maintains ongoing awareness of all security procedures at the Naperville Center.
B. Initiates and documents completion of Emergency Plan Drills and Events.
C. Reports any safety issues to the Facilities Manager and/or to the Director, Quality Services and Education.
D. Records staff in/out for the purpose of an emergency headcount.
E. Keeps public spaces neat and clean, including maintaining kiosk. Notifies Maintenance of issues with housekeeping or special maintenance needs.
F. Tidies kitchen at mid-day and prior to end of day security walk-through.

IV. MISCELLANEOUS
A. Maintains brochures in the Center’s lobby.
B. Maintains phone, mail, printing, and faxing services for the Center. Reports concerns to IT Director.
C. Inventories supplies (office, kitchen, clinical, and restroom), and orders as needed/approved.
D. Stocks supplies when delivered.
E. Maintains a “to do” list for ESDFV Maintenance department.
F. Reports any repair/maintenance issue covered under the Rental Lease to the landlord after approval by the Facilities Manager.
G. Participates in other activities that support department and Center projects and goals as requested.

V. ADHERES TO ETHICAL STANDARDS
A. Adheres to the Code of Ethics for Easterseals DuPage & Fox Valley.
B. Complies with all Federal, State and local laws and regulations.
C. Performs work consistent with established ESDFV Mission, Values and Philosophy.
D. Ensure all interactions/communications with clients, families and providers are delivered in a clear, respectful and responsible interactional style that demonstrates support of our consumers.

Qualifications:

QUALIFICATIONS:
1. High School diploma required. College Degree or experience in healthcare-related field preferred.
2. Minimum of two years medical office experience required.
3. High level of organizational skills and attention to detail.
4. Computer proficiency required.
5. Strong interpersonal and independent problem solving skills; excellent communication skills.
6. A basic understanding of physical therapy, occupational therapy and speech-language therapy, along with some medical knowledge, desirable.
7. Must be willing to travel to and provide support to Villa Park and Elgin sites as needed.
